Chat with Data
Chat with Data is your AI analyst. Ask a question about your workforce in plain English or Bahasa Indonesia, and get an answer with a written summary, a data table and, where it helps, a chart.
Chat only reads data from the business units you are authorized to see.
Opening Chat with Data
You can open it in two ways:
- Click Chat With Data in the navigation sidebar on the left.
- Click the round, animated AI bubble in the bottom-right corner. It appears on every page except Chat itself.
The page has two parts:
- A history panel on the left, with your recent conversations.
- The conversation area on the right, with the question box at the bottom.
To hide or show the history panel, click the small speech-bubble icon in the top-left corner of the conversation area. On a phone, the history panel opens as an overlay.
Asking a Question
- Start with one of the suggested questions shown under "Ask Intelligence anything" — for example, "Show me employee count by department as a chart" — or type your own.
- Type in the box that says "Ask about people, succession, skills…".
- Press Enter (or click the round arrow button) to send.
| In the question box | What it does |
|---|---|
| Enter | Sends your question |
| Shift + Enter | Starts a new line without sending |
| Scope chip (building icon) | Shows which data will be searched: All BUs, a single business unit name, or Your BUs (n). Hover over it to see the full list. |
| Examples | Appears once a conversation has started. Click it to bring the suggested questions back. |
💡 Tip: You can ask in English or Bahasa Indonesia. The AI answers in the language you used.
While the AI works, you will see its progress: "Understanding your question…", "Retrieving your data…", then "Summarizing the results…".
Understanding the Answer
Once a conversation has started, a reminder sits at the top: answers come from your authorized HR data, may not be complete, and should be verified before you act on personnel decisions.
An answer can include several parts. Not every answer has all of them.
| Part | What it shows |
|---|---|
| How I looked into this | A collapsible box. Click it to see how the AI read your question: Understood as, Checking, Approach and Scope. |
| Summary | A short written answer, with the key numbers highlighted. |
| Chart | A visual of the result, when the data suits one (see below). |
| Query Results | The data table behind the answer. |
| Confidence badge | High, Medium or Low confidence. Hover over it for the reason. |
| View data source | A collapsible box listing what the answer was drawn from (for example, Employee records or Succession plans), how many records were found, and your access scope. |
| Follow-up questions | Suggested next questions. Click one to ask it. |
What the confidence badge means
| Badge | When you see it |
|---|---|
| High | The answer came straight from a precise search of your data and found records. |
| Medium | The answer involved some interpretation — for example, ranking possible successors, analysing earlier results, or using web sources. |
| Low | No matching records were found. Check the names, filters or business unit in your question. |
When the AI needs more detail
If your question is ambiguous, the AI asks what you meant and offers clickable options. Click the one you meant, or type a clearer question.
If you name a business unit outside your access, the AI tells you it found no data for it and, where it can, suggests the closest business unit you can see.
Charts
A chart appears when the result has categories and numbers.
| Result shape | Chart you get |
|---|---|
| One category and a number, 8 rows or fewer | Pie chart |
| One category and a number, more than 8 rows | Bar chart, with percentages and counts |
| Two categories and a number (for example, department by gender) | Grouped bar chart |
To choose the type yourself, say so in your question — "as a bar chart", "as a pie chart", "grafik batang" or "diagram lingkaran".
Click Export Chart under any chart to download it as a PNG image.
The Query Results Table
- The table shows the first 5 rows. Use Show more to add up to 10 rows at a time, Show all to see everything, and Collapse to go back to 5.
- A line under the table tells you how many rows you are seeing, for example "Showing 15 of 42 rows".
- Long values are cut to one line. Hover over a cell to read it in full.
- When the result includes employee IDs, each row has a Career button. Click it to open that person in Career Navigator.
- When a result has exactly two categories and one number, it is shown as a cross-tab grid with row and column totals, instead of a plain list.
An answer returns at most 500 rows. If you need more, narrow the question.
Answers that list people
When a result includes personal details — names, manager names, dates of birth or LinkedIn profile links — the AI does not write its own summary. Instead you see a short line such as "Found 12 records matching your query. The data is displayed in the table below."
The table itself still shows the records you are authorized to see. This keeps the AI from writing free text about named individuals.
Exporting Results
There are four ways to take results out of Chat:
| Button | What it does |
|---|---|
| Export Excel | Downloads the table as an Excel file |
| Download CSV | Downloads the table as a .csv file |
| Export Chart | Downloads the chart as a PNG image |
| Copy icon (📋) | Copies the written summary to your clipboard |
Export Excel and Download CSV appear under the table when the answer has data rows.
💡 Tip: Use Excel for sharing with colleagues who will work with the data. Use CSV for importing into other tools.
Questions About the Wider Market
Questions about the outside world — such as industry standards, best practice or what other companies do ("standar industri", "praktik terbaik", "perusahaan lain") — are answered from a live web search, not your HR data.
These answers name their sources in the text, and the table lists the source, title and link for each one. They always carry a Medium confidence badge. If the search finds nothing solid, the AI says so and asks you to narrow the question rather than guessing.
Types of Questions You Can Ask
Works well:
- Headcount: "How many employees are in each department?"
- Retirement: "Who is closest to retirement age in the company?"
- Contracts: "Which contract employees have their contracts expiring within 3 months?"
- Succession: "Who are the Ready Now successors for Division Head positions?"
- Talent classification: "List all STAR Leaders across my BUs"
- Performance: "Show the performance category breakdown for each business unit"
- Skills: "What are the most common skills in the Operations department?"
- Charts: "Show me employee count by department as a chart"
Good to know:
- Names don't have to be exact. Partial or slightly misspelled names usually still find the right person.
- Successor questions say where the answer came from. If a formal succession plan exists, the AI says so. If it suggests people based on their profile instead, it labels them as not an approved succession plan.
- "None" is a real answer. If nothing matches, the AI tells you so plainly — for example, that a business unit has no critical roles recorded.
- Chat cannot write documents. Requests for letters, memos, emails or contracts are declined.
Conversations and History
- Follow-up questions work within a conversation. The AI sees the last 20 messages of the current conversation, so you can ask "now only for Finance" after an earlier answer.
- Each conversation is separate. A new conversation does not remember earlier ones.
- Click + New Chat to start a fresh conversation.
- Your conversations appear under Recent Chat, titled with your first question and the time of the last message. Eight are shown at first; click Show more for older ones.
- Click a conversation to reopen it.
- To delete a conversation, hover over it and click the trash icon.
Note: Your chat history is saved in this browser only, under your own account. It does not follow you to another computer or browser, and clearing your browser data removes it. Other people who use the same browser cannot see your conversations.
Limits and Errors
- You can ask up to 60 questions per hour. Past that, you will see "You've sent too many requests. Please wait a moment and try again."
- If something goes wrong, a red box shows the error with a link to this guide. Try rephrasing the question, or ask again in a moment.
Common Mistakes to Avoid
- Asking very broad questions like "Tell me everything about my employees". Be specific to get useful results.
- Treating the answer as final without checking. Use the Query Results table and View data source to confirm before acting on a personnel decision.
- Expecting live data. Chat reads TalentForge's data, which is refreshed from the monthly HR data load and from enrichment — not from other systems in real time.
- Expecting a new conversation to remember an old one. Ask follow-ups in the same conversation.
