Organisation Structure
Organisation Structure shows who reports to whom. You see a business unit's reporting lines as a searchable directory list next to an interactive tree you can pan and zoom. Click anyone to see a short profile, then jump to their full Career Navigator page.
Who Can Use It
- Every signed-in user can open Organisation Structure. No extra permission is needed.
- You only see the business units assigned to you.
- Only active employees are shown.
Opening the Page
Click Organisation Structure in the left sidebar, just below Talent Finder. On a phone, open the menu first.
The page has three areas:
| Area | What it does |
|---|---|
| Header | Choose a Business unit and open the Export menu |
| Directory list (left) | A searchable, indented list of everyone in the unit |
| Tree (right) | The reporting tree as connected cards |
On a phone, the directory list sits above the tree.
Choosing a Business Unit
The page opens on the first business unit in your list. To change it, use the Business unit dropdown in the header:
- Pick a single unit to load its tree.
- Pick All in scope to load all your units together. This only works when they add up to 1,500 employees or fewer. See Limitations.
Each time you change the unit, the directory and tree reload.
Searching the Directory
The directory on the left lists everyone in the unit as an indented tree. Managers have a chevron you can click to show or hide their team.
To find someone:
- Type in the search box at the top of the list. It matches name, employee ID and position.
- The list narrows to people who match, plus the managers above them, so you can see where they sit.
- If exactly one person matches, they are selected for you and the tree zooms to their card.
- Click any name in the list to select that person and bring their card into view on the tree.
If nobody matches, the list says "No employees match that search." Clear the search box to see everyone again.
Reading the Tree
Each employee is a card showing:
- photo, name and Emp ID;
- position;
- department, or business unit if no department is recorded;
- a reports button (for example, 4 reports) if they manage people.
Lines connect each person to their manager above them.
Moving around:
- Drag the background to move around.
- Scroll or pinch to zoom in and out. You can also use the zoom buttons in the corner.
- The minimap in the corner shows the whole tree. Drag or zoom inside it to jump to another area.
- Cards stay where they are placed; you can't drag them.
Showing and hiding teams: click the reports button on a manager's card to show or hide their direct reports. When a unit first loads, you see the people at the top of the tree and their direct reports.
Selecting someone: click a card to select it and open the employee detail pane. Click an empty part of the tree to close the pane.
ℹ️ Note: Some cards show an amber line that starts "Reports to", followed by a manager's name and "(outside scope)". That person's recorded manager isn't among the employees you loaded, so they appear at the top of the tree instead.
Employee Detail Pane
When you select someone, a pane opens over the bottom of the tree. It shows:
| Field | What it means |
|---|---|
| Photo, name, Emp ID | Who you selected |
| Age | Current age in years. The date of birth is never shown |
| Gender | As recorded in HR records |
| Position | Current job title |
| Organisation experience | Time with the company |
| Department | Their department |
| Overall experience | Previous employers from HR records, shown when available (first two lines) |
| Skills | AI-inferred skill tags if they have been generated, otherwise up to eight skills from their profile |
Click View full profile to open the employee's Career Navigator page. Click the × to close the pane.
Exporting the Structure
Click Export in the header and choose a format. The export always includes every employee in the selected business unit, whatever you have expanded or collapsed on screen.
| Format | What you get |
|---|---|
| An A4 portrait document with searchable text | |
| Image | One tall PNG picture. A very large unit downloads as several PNGs, one per page |
What's in the PDF:
- A header with the business unit, headcount, number of levels and the export time.
- Page 1: a leadership chart showing the top person and their direct reports, up to 24. If there are more, a note says how many more are listed below.
- Then: every employee as an indented hierarchy that follows the reporting lines. Each row shows the employee's name, position, employee ID, layer and number of direct reports.
- People with no manager recorded in the unit are listed in a separate section at the end, grouped by department.
- Rows never split across pages. Pages that continue a branch say which branch they belong to. Every page is numbered.
Files are named "Organisation structure", then the business unit, then the date.
The Export button is greyed out while the tree is loading or when the unit has no employees. If an export fails, you'll see "Could not create the PDF. Try again." or "Could not create the image. Try again."
💡 Tip: Use the PDF when you need to share or print the structure. It stays readable however large the unit is, and you can search its text.
Data Quality Notices
Under the header you may see an amber notice:
| Notice | What it means |
|---|---|
| "N employees report to a supervisor outside this scope." | Their recorded manager isn't among the active employees you loaded. The manager may be in another business unit, or no longer active |
| "N reporting-line cycles broken so the tree can render." | The HR records contain a loop, for example two people listed as each other's manager, or someone listed as their own manager. One link was dropped so the tree can be drawn |
Empty and Error States
| What you see | What to do |
|---|---|
| "Loading directory…" and a spinner | Wait a moment while the tree loads |
| "Select a business unit to load the tree." | Choose a unit in the header |
| "No active employees in this scope." | The unit has no active employees. Pick another unit |
| "This scope has N employees, above the 1,500 limit. Narrow by business unit." | Choose a single business unit instead of All in scope |
| "Could not load the organisation tree." or another error message | Try again. If it keeps happening, contact your administrator |
Limitations
- 1,500 employees per view. The tree loads at most 1,500 employees at a time. A selection larger than that, whether All in scope or a single very large business unit, shows the limit message instead of a tree.
- Built from the HR supervisor field. Reporting lines come from the supervisor recorded for each employee in HR records. Where HR has supplied corrected reporting lines for a unit, those are used instead.
- Monthly refresh. The structure updates when the monthly HR data load runs. Recent changes may not show yet.
- Not editable here. You can't change reporting lines in TalentForge. Corrections need to be made at the source in HR records.
- Several people at the top. Anyone whose supervisor is missing, or is outside the unit you loaded, appears at the top of the tree. A unit can therefore have more than one top person.
- One unit at a time for search. The directory search only looks inside the business unit currently loaded.
Guided Tour
The first time you open Organisation Structure, a short tour walks you through choosing a business unit, searching the directory, using the tree, exporting and opening a profile. Click Take a tour in the sidebar to see it again.
